{"id":30211,"date":"2021-05-20T09:00:01","date_gmt":"2021-05-20T14:00:01","guid":{"rendered":"https:\/\/www.filecloud.com\/blog\/?p=30211"},"modified":"2021-06-10T08:49:02","modified_gmt":"2021-06-10T13:49:02","slug":"using-allow-manage-on-filecloud-team-folders","status":"publish","type":"post","link":"https:\/\/www.filecloud.com\/blog\/using-allow-manage-on-filecloud-team-folders\/","title":{"rendered":"Using \u201cAllow Manage\u201d on FileCloud Team Folders"},"content":{"rendered":"<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-30589\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/FileCloud-Allow-Manage.png\" alt=\"\" width=\"1921\" height=\"1081\"><\/p>\n<p>One of the most used features in FileCloud is \u201cTeam Folders\u201d; it is an ideal solution for sharing folders and files within a team and later sharing the same files and folders with external users, such as customers and vendors partners, etc.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-30979 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/Team-Folders-Vector2.jpg\" alt=\"\" width=\"644\" height=\"456\"><\/p>\n<p>Team Folders have many options for managing users that can access files and folders stored in them:<\/p>\n<p>In the user portal:<\/p>\n<ul>\n<li>Your users can share to external users from the User portal\u2018s share option.<\/li>\n<\/ul>\n<p>In the Admin UI:<\/p>\n<ul>\n<li>You can add\/remove users and groups from a Team Folder\u2019s Manage Share window.<\/li>\n<li>You can manage the access level to files and sub-folders by using the \u201cPermissions\u201d option in Team Folders.<\/li>\n<li>You can give your FileCloud users Allow Manage permission for a Team Folder in the Manage Share window.<\/li>\n<\/ul>\n<p>In today\u2019s article, we will focus our attention on the Allow Manage feature. You can access them by clicking the Edit button in the Misc section:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-30889 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/Share-Permissionss.png\" alt=\"\" width=\"644\" height=\"456\"><\/p>\n<p>When you open the Miscellaneous permissions for the selected account, you will find that Allow Delete is checked by default and Allow Manage is not.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-30223\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/Team-Folder-4.png\" alt=\"misc permissions\" width=\"595\" height=\"258\"><\/p>\n<p>Please check the Allow Manage checkbox and hit Save to allow the selected user to manage. You can then close the Manage Share main window.<\/p>\n<p>We have now enabled the manage features for the selected user.<\/p>\n<p>\u00a0<\/p>\n<h2><span class=\"ez-toc-section\" id=\"What_options_does_the_Allow_Manage_feature_give_to_a_user\"><\/span>What options does the Allow Manage feature give to a user?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>\u00a0<\/p>\n<p>After you enable this for a full account user, it will give the user the ability to:<\/p>\n<ol>\n<li>Add full users to the Team Folder from the User Portal.<\/li>\n<li>View and manage other users\u2019 shares within the Team Folder.<\/li>\n<\/ol>\n<p>\u00a0<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Adding_full_users_to_the_Team_Folder_from_the_user_portal\"><\/span>Adding full users to the Team Folder from the user portal<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>\u00a0<\/p>\n<p>The Full user to which we enabled the Allow Manage permission now has the ability to add other team members to the Team Folder. After the user logs in to the user portal and navigates to the Team Folder when the Team Folder is selected, the Details pane (right sidebar) will show the Team Folder share options:<\/p>\n<p>\u00a0<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-30238\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/Team-Folder-5.png\" alt=\"share details\" width=\"351\" height=\"523\"><\/p>\n<p>The user can click on the \u201cManage Share\u201d link to view the Team Folder share options; from here, the user can see the Team Folder users and add\/remove other Full users to it.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-30244\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/Team-Folder-6.png\" alt=\"Users who are part of share\" width=\"624\" height=\"514\"><\/p>\n<p>To add a new user to the share, you invite a new user as you typically add users to a share:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-30247\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/Team-Folder-7.png\" alt=\"Invite users to share\" width=\"624\" height=\"355\"><\/p>\n<p>And the permissions for the new users can be enabled\/disabled the same way as in the admin portal.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-30250\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/Team-Folder-8.png\" alt=\"Set user permissions\" width=\"624\" height=\"217\"><\/p>\n<h3><span class=\"ez-toc-section\" id=\"View_and_manage_other_users_shares_within_Team_Folders\"><\/span>View and manage other user\u2019s shares within Team Folders<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>\u00a0<\/p>\n<p>By default, other users can\u2019t see what another user has shared externally; now, the user has access to this information with the Allow Manage feature enabled.<\/p>\n<p>For example, if a user shares a sub-folder from a Team Folder that has Allow Manage permission, the main user can now view\/manage the external share from the user portal.<\/p>\n<p>When the full user navigates to the shared folder and selects it, it will display new information in the Details tab:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-30253\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2021\/05\/Team-Folder-9.png\" alt=\"share details\" width=\"348\" height=\"578\"><\/p>\n<p>\u00a0<\/p>\n<p>Now, you can view the shares from other users.
