That team name will be your FileCloud Online Site Name, for example:<\/p>\n<p>Team Name: my_company<\/p>\n<p>FileCloud Online URL: my_company.filecloudonline.com<\/p>\n<p>When you sign up for your FileCloud trial or when you purchase your new subscription, you will receive an email with your login credentials as an admin and as a user.<\/p>\n<p>It\u2019s important to note that the <strong>admin<\/strong> account <strong>does not<\/strong> count toward your license; this is the main admin account to configure FileCloud settings, add\/remove users, and handle other administrative tasks. This admin account does not have a user account or allocated storage.<\/p>\n<p>We recommend that you change the admin account name and password for better security. To check off this task, log in to the admin UI and go to: &gt; Settings &gt; Admins &gt; Reset Admin Password.<\/p>\n<p>Once the password is updated, the admin user interface will log you out and ask you to log in again.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35066\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Admin-Password-Reset-Figma.jpg\" alt=\"FileCloud Admin UI Settings Tab - reset admin password\" width=\"869\" height=\"698\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Admin-Password-Reset-Figma.jpg 869w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Admin-Password-Reset-Figma-768x617.jpg 768w\" sizes=\"(max-width: 869px) 100vw, 869px\"><\/p>\n<h2><span class=\"ez-toc-section\" id=\"How_do_I_add_a_company_user_to_FileCloud\"><\/span>How do I add a company user to FileCloud?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>A company user will most likely need a \u201cFull\u201d license.<\/p>\n<p><em>What is the difference between Full, Guest, and External Users? <\/em><\/p>\n<p>You can see a detailed difference table in our <a href=\"https:\/\/www.filecloud.com\/supportdocs\/fcdoc\/latest\/server\/filecloud-end-user-guides\/user-account-types\" class=\"broken_link\">documentation<\/a>, but to keep it simple, here are the main differences:<\/p>\n<ul>\n<li><strong>Full User:<\/strong> Company users that will use FileCloud to collaborate and share files with external users and that you want to allocate personal storage (\u201cMy Files\u201d). This user type counts toward your license tally.<\/li>\n<li><strong>Guest User:<\/strong> Company users that will use FileCloud to collaborate and share files with external users but \u201conly\u201d from Team Folders or specific shares you grant them access to; they don\u2019t have storage allocated. This user type counts toward your license tally.<\/li>\n<li><strong>External User:<\/strong> All user accounts that will be added by you or your user that will be recipients of shares and only have access to what is shared with them. These accounts do not use a license seat. You can add as many external users as you need, as long as their email accounts don\u2019t use the same domain as your company accounts. For example, if your company domain is company.com, your external accounts can\u2019t use that domain as an external user. For more details about this restriction, please <a href=\"https:\/\/www.filecloud.com\/supportdocs\/fcdoc\/latest\/server\/filecloud-administrator-guide\/filecloud-site-setup\/user-settings\/new-account-creation\/domain-limitations-for-external-users\">check our documentation<\/a>.<\/li>\n<\/ul>\n<p>Adding a new \u201cFull\u201d user account is possible via the admin user interface. Log in to the admin UI and go to: Users &gt; Add User.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35067\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Add-User-Figma.jpg\" alt=\"FileCloud Admin Interface - Add new user\" width=\"663\" height=\"372\"><\/p>\n<p>A new user dialog box appears:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35068\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Add-User-Details-Figma.jpg\" alt=\"FileCloud Admin Interface - add new user profile\" width=\"869\" height=\"785\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Add-User-Details-Figma.jpg 869w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Add-User-Details-Figma-768x694.jpg 768w\" sizes=\"(max-width: 869px) 100vw, 869px\"><\/p>\n<p>If we want to add John Doe (<a href=\"mailto:johndoe@company.com\">johndoe@company.com<\/a>) as a full user, we input the following information:<\/p>\n<hr>\n<p>Authentication \u2014 Default Authentication<\/p>\n<p>Access Level \u2014 Full (Licensed Account with storage)<\/p>\n<p>User name* \u2014 johndoe<\/p>\n<p>Display name \u2014 John Doe<\/p>\n<p>Password* \u2014 ********<\/p>\n<p>Email* \u2014 john.doe@company.com<\/p>\n<hr>\n<p>If we decide to \u201cSend email notification\u201d to the user, an additional option to include the password will show. Use this option to include the password in the welcome email.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Why_are_accounts_limited_to_2_GB_of_personal_space\"><\/span>Why are accounts limited to 2 GB of personal space?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>When you configure FileCloud for the first time, all \u201cFull\u201d user accounts are assigned 2 GB of storage by default.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"I_purchased_2_TB_where_is_the_rest_of_the_storage\"><\/span>I purchased 2 TB; where is the rest of the storage?<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Using FileCloud Online gives you the ability to allocate user storage across two different locations:<\/p>\n<ol>\n<li>Personal storage (a.k.a. \u201cMy Files\u201d) \u2014 this is personal storage allocated to the user that only the user can access.<\/li>\n<li>Team Folders \u2014 this is a shared space where users can store and collaborate on team files; for example, Human Resources, Sales, Engineering, Account, Management, etc. All these folders have control access that can be modified so only certain users are granted access.<\/li>\n<\/ol>\n<p><strong>Default values:<\/strong><\/p>\n<ul>\n<li>Every Full User account gets 2 GB of storage.<\/li>\n<li>Team Folders do not have a limit and can use as much storage as is available to your subscription.<\/li>\n<\/ul>\n<h3><span class=\"ez-toc-section\" id=\"How_do_I_change_the_personal_storage_My_Files_default_quota\"><\/span>How do I change the personal storage (My Files) default quota?<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>All user accounts are associated with <strong>Policy Groups<\/strong> in FileCloud. Different policy groups can modify how users interact with FileCloud, and admins can adjust default settings for policies. For example:<\/p>\n<p><em>I want my management team to have 50 GB of personal storage. For the Sales team, I want to allocate 10 GB of personal storage. I want to default to 5 GB for the rest of the company.<\/em><\/p>\n<p>To make these changes, we will go to the admin UI: Settings &gt; Policies<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35069\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Admin-Settings-Policies-Figma.jpg\" alt=\"FileCloud Admin Interface - Settings - Policies\" width=\"714\" height=\"372\"><\/p>\n<p><strong>Step 1: Update the Default Policy<\/strong><\/p>\n<p>The first change we will make is the \u201cDefault\u201d policy group to give 5 GB to users. Generally, this policy is identified as the \u201cGlobal Default Policy,\u201d which is turned on.<\/p>\n<p>On the right side, we find the action control buttons. Click on the edit button to open and update the policy.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35070\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Update-Global-Default-Policy-Figma.jpg\" alt=\"FileCloud Admin Interface - update global default policy for users\" width=\"714\" height=\"420\"><\/p>\n<p>Here, we will find all the options available to customize by Policy Group; for now, we will focus on storage.<\/p>\n<p>However, you can reference our <strong><a href=\"https:\/\/www.filecloud.com\/supportdocs\/fcdoc\/latest\/server\/filecloud-administrator-guide\/filecloud-site-setup\/policies\">documentation<\/a> <\/strong>to learn about all the policy settings options, or you can check out FileCloud University<strong> Lesson 13: General Policy Tab (<a href=\"https:\/\/www.youtube.com\/watch?v=CHPeJjR3s0g&amp;t=212s\">video<\/a>).<\/strong><\/p>\n<p>Scroll down the General Policy Tab to locate the User Storage Quota. Choose the number of units in terms of GB. For our example, enter the value 5 to give the users 5 GB of personal storage. Hit save \u2014 we have now completed this task\u2019s first step.<\/p>\n<p><strong>Step 2: Create a Policy for Specific User Groups (e.g., \u201cSales Team\u201d and \u201cManagement Team\u201d)<\/strong><\/p>\n<p>Now, we will add the Sales Team Policy to grant Sales team members 10 GB of space. We have two options to accomplish this:<\/p>\n<ol>\n<li>Create a new policy by clicking the button on the upper right corner and name the policy \u201cSales Team.\u201d<\/li>\n<li>Duplicate the Global Default Policy and rename it \u201cSales team.\u201d<\/li>\n<\/ol>\n<p><em>When to use option #1?<\/em><\/p>\n<p>When you want to create a blank new policy group with default values.<\/p>\n<p><em>When to use option #2?<\/em><\/p>\n<p>When you want to replicate all the settings you\u2019ve already defined for the default policy group; for example, setting two-factor authentication. Any default values will be copied to the new group.<\/p>\n<p>Generally, we recommend using option #2 so you don\u2019t miss any specific values set for your users. Whichever option you used, there should be a new Policy group named \u201cSales team.\u201d Edit the policy group and change the storage value to 10 GB. Then save the changes.<\/p>\n<p>Repeat the process by duplicating the Sales Team (or the Global Default Policy) and renaming it \u201cManagement Team.\u201d Then update the storage quota to 50 GB.<\/p>\n<p><strong>Step 3: Create User Groups (e.g., \u201cSales Team\u201d and \u201cManagement Team\u201d)<\/strong><\/p>\n<p>Though everything looks properly configured, how does FileCloud know which users are part of the management and sales teams?<\/p>\n<p>Since we are configuring everything from scratch, we must create a \u201cUser\u201d group for Management and Sales and assign their users. (This can also be done prior to creating new policies.)<\/p>\n<p>Navigate to admin UI &gt; Groups:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35071\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Add-Group-Figma.jpg\" alt=\"FileCloud Admin Interface - add new user group\" width=\"884\" height=\"390\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Add-Group-Figma.jpg 884w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Add-Group-Figma-768x339.jpg 768w\" sizes=\"(max-width: 884px) 100vw, 884px\"><\/p>\n<p>We are going to create two new groups: \u201cSales Team\u201d and \u201cManagement Team\u201d:<\/p>\n<p>Once we click \u201cAdd Group,\u201d we are prompted to manage the group members. For our example, we want to include John Doe as part of the sales team:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35072\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Manage-Group-Figma.jpg\" alt=\"FileCloud Admin Interface - add users to groups\" width=\"884\" height=\"561\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Manage-Group-Figma.jpg 884w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Manage-Group-Figma-768x487.jpg 768w\" sizes=\"(max-width: 884px) 100vw, 884px\"><\/p>\n<p>Once added, the user is listed in the group (and can be removed at any time if necessary).<\/p>\n<p><strong>Step 4: Update Group Policies<\/strong><\/p>\n<p>Next, we will go to the Policies tab in the \u201cManage Group\u201d dialog box for the Sales Team.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35073\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Manage-Group-Policy-Figma.jpg\" alt=\"FileCloud Admin Interface - manage group policy\" width=\"714\" height=\"420\"><\/p>\n<p>The effective policy for the group appears in the Policies tab under \u201cManage Group.\u201d\u00a0Clicking \u201cSelect\u201d will open another dialog box that allows us to search and choose between existing policies. Select the \u201cSales Team\u201d Policy Group we recently created from the list.<\/p>\n<p>Now, repeat the process for the Management Team. First create the \u201cManagement Team\u201d group, then add users. In our example, we will add Jane Doe to the Management Group. As with the \u201cSales Team\u201d group, the policy for \u201cManagement Team\u201d can be changed from the the Default Global Policy to the \u201cManagement Team\u201d policy that we created earlier in this step-by-step example.<\/p>\n<p>Great! We have created custom policy groups and storage allocation. You can learn more about policies through FileCloud University,<strong> Lesson 12: Overview of Policy Groups Settings <a href=\"https:\/\/www.youtube.com\/watch?v=T9qxxkYupdA\" target=\"_blank\" rel=\"noopener\">(video)<\/a><\/strong>.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"How_do_I_create_a_Team_Folder_for_a_specific_group_of_users\"><\/span>How do I create a Team Folder for a specific group of users?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>To create a Team Folder for our recently made groups, let\u2019s go to admin UI &gt; Team Folders:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35074\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Manage-Team-Folders-Figma.jpg\" alt=\"FileCloud Admin Interface - Manage Team Folders\" width=\"699\" height=\"276\"><\/p>\n<p><strong>Step 1: Click the \u201cAdd Files and Folders\u201d button; choose the New Folder option.<\/strong><\/p>\n<p><strong>Step 2: Give the folder a name (e.g., \u201cSales Team\u201d) and click save.<\/strong><\/p>\n<p><strong>Step 3: Share the folder.<\/strong><\/p>\n<p>Now the folder has been created but not yet shared with anyone. Let\u2019s share it with the \u201cSales Team\u201d by clicking on the \u201cShare Now\u201d button.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35075\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Share-Team-Folder-Figma.jpg\" alt=\"FileCloud Admin Interface - Share Team Folder\" width=\"869\" height=\"760\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Share-Team-Folder-Figma.jpg 869w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2023\/05\/Share-Team-Folder-Figma-768x672.jpg 768w\" sizes=\"(max-width: 869px) 100vw, 869px\"><\/p>\n<p><strong>Step 4: Allow Share based on Groups.<\/strong><\/p>\n<p>In this Share window, make sure to choose \u201cAllow selected users or groups,\u201d as we want to limit who accesses this Team Folder. Then click the \u201cGroups\u201d button and \u201cAdd Group.\u201d Then choose the \u201cSales Team\u201d and click \u201cAdd.\u201d<\/p>\n<p><strong>Step 5: Adjust Share Permissions for Group members:<\/strong><\/p>\n<p>After adding the group, click on the checkbox of each permission you want to grant to the team you add to the folder.
