In this article, we will address a common question: <strong>What is the difference between Share Permissions and Folder Permissions?<\/strong><\/p>\n<p><em>(Missed the first post? Check it out here \u2013 <\/em><a href=\"https:\/\/www.filecloud.com\/blog\/2023\/05\/getting-started-with-filecloud-online-part-1\/\"><em>Part 1: Create Users, Groups, &amp; Storage Policies<\/em><\/a><em>)<\/em><\/p>\n<p>FileCloud makes secure file sharing easy and simple with the option for users to share files and folders and set certain protections. Admins can also create policies that serve as file sharing guard rails (like Data Leak Protection rules or Retention policies).<\/p>\n<p>Sharing files or folders is a highly specific action taken by a FileCloud user (or perhaps an automated workflow, but that\u2019s a topic for another <a href=\"https:\/\/www.filecloud.com\/blog\/2022\/09\/making-content-lifecycles-easier-with-workflow-automation\/\">post<\/a>). The user initiating the share can modify certain settings, including:<\/p>\n<ul>\n<li>Public share link vs Private (internal) share<\/li>\n<li>Password-protection<\/li>\n<li>Zero Trust (encrypted Zip folder) share<\/li>\n<li>Share expiration<\/li>\n<li>Recipient permissions:\n<ul>\n<li>Write (modify), upload, share, download (limited or unlimited)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>\u00a0<\/p>\n<p><strong>So how does that differ from \u201cFolder Permissions\u201d?<\/strong><\/p>\n<p>The answer to this question of permission types (share vs folder) lies in FileCloud\u2019s Team Folders. These folders provide a centralized, collaborative workspace for users. For the best user experience, managing access permissions can be streamlined and automated through folder permission policies.<\/p>\n<p>To better visualize this use case, we\u2019ll explore an example:<\/p>\n<ul>\n<li>Sample Company needs to provide the sales team with a shared folder where they can create folders for their customers and share information.<\/li>\n<li>The sales manager wants to grant access to this folder to the sales team, and he wants to be able to restrict access to some subfolders to the rest of the team.<\/li>\n<\/ul>\n<h2>Leveraging Folder Permissions<\/h2>\n<p>Folder permissions in FileCloud are useful because they organize access, sharing, downloading, and other actions <em>based on the folder location of the data<\/em>.<\/p>\n<p>Say we have a folder and we only want to grant access to a subset of people in our directory. It can save time and effort for the admin to enact a folder policy that will automatically enforce the exact permissions necessary to protect that data without impeding collaboration.<\/p>\n<p>This is especially useful for organizations that need to meet compliance requirements stipulating that data must <em>only<\/em> be accessible to people who have a legitimate business interest or operational need.<\/p>\n<p>Now that we understand a little more why folder permissions are useful, let\u2019s explore how to create them.<\/p>\n<h3>Step 1: Add Users and Manage Groups<\/h3>\n<p>The first step is to add the team members to a user group in FileCloud. You can find step-by-step instructions on how to add users and create groups in <a href=\"https:\/\/www.filecloud.com\/blog\/2023\/05\/getting-started-with-filecloud-online-part-1\/\">part 1<\/a> of this series. In brief:<\/p>\n<ol>\n<li>Log into the admin UI and go to the user section.<\/li>\n<li>Add two new users.\n<ul>\n<li>John Doe (John.Doe@democompany.cloud)<\/li>\n<li>Jane Doe (Jane.Doe@democompany.cloud)<\/li>\n<\/ul>\n<\/li>\n<li>Create a new group.\n<ul>\n<li>Sales team<\/li>\n<\/ul>\n<\/li>\n<li>Add the users to the group.<\/li>\n<\/ol>\n<h3>Step 2: Enable Folder Permissions<\/h3>\n<p>Now that we\u2019ve identified who we want to impact (the users in the Sales Team group), we can move on to the next factor: what is it that we want to happen? Well, we want the Sales team to be able to access a specific Team Folder in FileCloud.<\/p>\n<p>To create this permission, first, we must ensure that FileCloud is configured to use Folder permissions.<\/p>\n<h4><strong>Enable Global Setting to \u201cApply Folder Level Security\u201d<\/strong><\/h4>\n<p>Log into the admin portal and navigate to: Settings &gt; Misc. Go to the Policy tab, scroll down to the setting \u201cAllow Folder Level Security,\u201d select \u201cYes,\u201d and save the changes.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35719\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Enable-Policy-Folder-Level-Security.png\" alt=\"Image of FileCloud admin interface - update policy details - enable folder level security. \" width=\"995\" height=\"544\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Enable-Policy-Folder-Level-Security.png 995w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Enable-Policy-Folder-Level-Security-768x420.png 768w\" sizes=\"(max-width: 995px) 100vw, 995px\"><\/p>\n<h3>Step 3: Create and Share a Team Folder<\/h3>\n<p>Now that we have a \u201cSales Team\u201d user group (who will be impacted) and a \u201cSales Team\u201d policy enabling folder-level permissions (what we want to happen), we need to create a space for our actual sales team members to collaborate on content (where this will take place).<\/p>\n<h4><strong>Create New Team Folder <\/strong><\/h4>\n<p>In the admin UI, navigate to the Team Folders section and create a new folder. This is a visual reminder that the folder hasn\u2019t been shared with any users or user groups (yet).<\/p>\n<p>To remedy this, we need to mouse over the team folder to display the action bar.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35721\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Share-New-Team-Folder.png\" alt=\"Image of FileCloud Admin interface - Manage Team Folders - share new Team Folder.\" width=\"946\" height=\"367\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Share-New-Team-Folder.png 946w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Share-New-Team-Folder-768x298.png 768w\" sizes=\"(max-width: 946px) 100vw, 946px\"><\/p>\n<p>The first option in the bar is to share the folder. This is also referred to as granular permissions.<\/p>\n<p>This concept is also referred to as \u201cleast privilege\u201d within the <a href=\"https:\/\/www.filecloud.com\/zero-trust-file-sharing\/\">Zero Trust<\/a> framework. Essentially this means that individuals should have the least access privilege possible for them to carry out their job duties.<\/p>\n<p>In our example, the sub-folder \u201cPrivate Sales Team Data\u201d probably doesn\u2019t need to be visible to <em>everyone<\/em> on the Sales team. Let\u2019s fix that real quick.<\/p>\n<h4><strong>Adjust Sub-folder Permissions<\/strong><\/h4>\n<p>From the admin interface, we need to open the team folder, \u201cSales Team.\u201d Then we\u2019ll mouse over the last folder to display the action bar and click on the key icon for permissions.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35725\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Manage-Team-Folder-Sub-folder-Access-Permissions.png\" alt=\"Image of FileCloud admin interface - Manage Team Folder - adjust sub-folder permissions\" width=\"951\" height=\"542\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Manage-Team-Folder-Sub-folder-Access-Permissions.png 951w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Manage-Team-Folder-Sub-folder-Access-Permissions-768x438.png 768w\" sizes=\"(max-width: 951px) 100vw, 951px\"><\/p>\n<p>This will open up the Permissions menu:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35726\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Manage-Team-Folder-Security-Adjust-Sub-folder-Access-Permissions.png\" alt=\"Image of FileCloud admin interface - Manage Team Folders - Update sub-folder permissions for user access\" width=\"624\" height=\"539\"><\/p>\n<p>We want to restrict access to this private folder to our Sales Team manager, Jane. We don\u2019t want John to even be able to see this folder in his interface.<\/p>\n<p>You might think that we would start with Jane, because we want to enable her access. However, bearing the \u201cLeast Privilege\u201d concept in mind, the user permissions we actually want to modify are John\u2019s.<\/p>\n<h4><strong>Adjust User Permissions for Sub-folder<\/strong><\/h4>\n<p>Click \u201cAdd Users\u201d to open a dialog box. Then type the user ID or email address into the search bar, select John Doe, and click \u201cAdd.\u201d<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35727\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Manage-Sub-folder-User-Access-Permissions.png\" alt=\"Image of FileCloud admin interface - Manage Team Folders - Adjust Sub-folder permissions for user\" width=\"669\" height=\"382\"><\/p>\n<p>This will add John to the list of users, with all permissions automatically enabled.<\/p>\n<p>But this is the opposite of what we want! Stay with us though \u2013 it will all become clear with a simple modification\u2026<\/p>\n<p><strong>Uncheck<\/strong> the boxes across <strong>all<\/strong> permission columns.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-35728\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/03\/Adjust-User-Permissions-to-Restrict-Sub-folder-Access.png\" alt=\"Image of FileCloud admin interface - Manage Team Folders - Adjust Sub-folder Permissions - Restrict Sub-folder Access\" width=\"624\" height=\"570\"><\/p>\n<p>Voila! John has no access to the \u201cPrivate Sales Team Data\u201d sub-folder, including read access.<\/p>\n<p>What does this look like for John? Only the file or folder selected by the user is shared. The user can also modify how the item is shared and the recipients\u2019 level of access.\n<ul>\n<li>(This method can also be used to publicly share a folder with upload-only access, creating a secure URL for file requests.)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>\u00a0<\/p>\n<ul>\n<li><strong>Folder Permissions<\/strong> are the easiest way for admins (and users, if this option is enabled) to manage user and user group permissions for sub-folders inside Team Folders.
