The default setting is for all users to be notified of all file operations (whether added, deleted, or edited) within the folders to which they have access.<\/p>\n<p>However, when using Team Folders, users often don\u2019t want to be notified about every single operation. They may be interested only in a specific folder they\u2019re using for collaboration, or in an external share they sent to a third party.\n<\/p>\n<h2>Managing Notifications from the User UI<\/h2>\n<p>For our current example, let\u2019s say you\u2019re a user who is part of a Finance team, and you\u2019re added to your specific Team Folder for collaboration.<\/p>\n<p>Inside this root-level Team Folder, there are three sub-folders:<\/p>\n<ul>\n<li>Team Files<\/li>\n<li>Inbound Files<\/li>\n<li>Outbound Files<\/li>\n<\/ul>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35801\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications1.png\" alt=\"Root-Level Folders\" width=\"210\" height=\"140\"><\/p>\n<p>As the user, you want to perform the following tasks:<\/p>\n<ol>\n<li>Ensure you are notified of all file operations in the Inbound Files folder.<\/li>\n<li>Ensure you are notified of download\/upload operations in the Outbound Files folder.<\/li>\n<li>Disable all notifications for the Team Files folder.<\/li>\n<\/ol>\n<h3>Enabling all Notifications in a Folder<\/h3>\n<p>When you are logged in, you navigate to the Inbound Files folder. On the action sidebar to the right, in the Details tab, you will see the following options:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-35835\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications2-1.png\" alt=\"\" width=\"357\" height=\"853\"><\/p>\n<p>As you can see, not all notifications are enabled for this user in this folder. To modify this, click the <strong>Manage<\/strong> link in the Notifications section to display the current settings.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35812\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications3.png\" alt=\"Default Settings\" width=\"547\" height=\"157\"><\/p>\n<p>Since you want to enable all notifications, you switch to \u201cUse my own notification settings.\u201d After selecting this, you will be able to configure the notification settings by selecting the relevant checkboxes. Then you choose all the options you want to use and save your changes.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35813\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications5.png\" alt=\"Customized Notifications\" width=\"509\" height=\"401\"><\/p>\n<p>Once you have saved your settings in the right sidebar, the message \u201cAll notifications are enabled\u201d is displayed in the Notifications area. You will also be notified of all file operations for the Inbound folder.<\/p>\n<h3>Enabling Selected Notifications in a Folder<\/h3>\n<p>Let\u2019s say you want to configure your settings to ensure you are only notified about upload\/download operations in relation to the Outbound folder. To achieve this, you first navigate to the Outbound folder in the UI and check the notification settings on the right sidebar, as before.<\/p>\n<p>You then click <strong>Manage<\/strong> and select the custom notifications that you want to configure:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35814\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications8.png\" alt=\"Customized Outbound Notifications\" width=\"552\" height=\"437\"><\/p>\n<p>Once you have saved your new settings, you can review your custom notification settings again on the right sidebar.<\/p>\n<h3>Disabling all Notifications in a Folder<\/h3>\n<p>In this scenario, you have decided that you don\u2019t want to receive any notifications from the Team Files folder. Now you need to navigate to that folder and update the notification settings:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-35836\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications10-1.png\" alt=\"\" width=\"352\" height=\"851\"><\/p>\n<p>To disable all notifications, you simply deselect the Send Notifications checkbox.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35816\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications11.png\" alt=\"Send Notifications Checkbox\" width=\"468\" height=\"374\"><\/p>\n<p>Once you have saved your settings, a message appears in the right sidebar confirming that you have successfully disabled all notifications. You will no longer receive alerts about file operations in this folder.<\/p>\n<h2>Managing Notifications from the Admin UI<\/h2>\n<p>You can review all the custom settings you\u2019ve configured for the user before in the admin UI. From there, you can edit or delete the existing custom settings and create new ones.<\/p>\n<p>To access the relevant section, login to the admin UI and navigate to Notifications in the left menu:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35817\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications13.png\" alt=\"Notifications Section: Admin Portal\" width=\"569\" height=\"195\"><\/p>\n<p>Here you review the three custom settings, indicating the path, the user, and the date of creation.<\/p>\n<p>If you click the Edit icon to the right of the entry (the Actions column), you can view the custom notifications, for example, for the Inbound Folder:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35818\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications14.png\" alt=\"Admin UI Inbound\" width=\"451\" height=\"588\"><\/p>\n<p>From here, as an admin user, you can override the user\u2019s settings or delete the custom setting completely.<\/p>\n<h3>Adding Custom Notifications from the Admin UI<\/h3>\n<p>If you are an admin user, you can also create custom alerts about file activity. To do this, you need the following information:<\/p>\n<ul>\n<li>Folder path<\/li>\n<li>Username<\/li>\n<li>Required settings<\/li>\n<\/ul>\n<p>In this example, a new folder in the root Finance folder is now Other Files. The admin has a request to turn off the Rename and Delete options for this folder.<\/p>\n<p>As the admin, the first thing you need is the path. You can get this information from the Details section in the sidebar by clicking <strong>Copy Path<\/strong>.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-35837\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications15-1.png\" alt=\"\" width=\"347\" height=\"418\"><\/p>\n<p>In our example, the details are as follows:<\/p>\n<ul>\n<li><strong>Path: <\/strong>\/SHARED\/support\/Finance Team\/Other Files<\/li>\n<li><strong>Username: <\/strong>daniel<\/li>\n<\/ul>\n<p>Now you can go to the Add Rule option:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35820\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications17.png\" alt=\"Admin Add Rule\" width=\"537\" height=\"173\"><\/p>\n<p>You look for the relevant user and paste the path provided into the Path field. Finally, you check the custom settings and remove the Rename and Delete operations, as requested:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35821\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications18.png\" alt=\"Add Custom User Notifications Rule\" width=\"477\" height=\"670\"><\/p>\n<p>After you have saved your changes, the new custom settings display in the Manage Notifications grid:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35822\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications19.png\" alt=\"Manage Notifications Grid\" width=\"524\" height=\"136\"><\/p>\n<h3>Turn off the Option to Add Custom Notifications<\/h3>\n<p>Let\u2019s say that, as an admin, you don\u2019t want the users to override your settings. To remove this option, you first need to navigate to the admin UI, then go to\u00a0 <strong>Settings -&gt; Policies<\/strong> and edit the policy group of the users for whom you want to turn off customization:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35823\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications21.png\" alt=\"Policy Group Edit\" width=\"502\" height=\"276\"><\/p>\n<p>In the Notifications tab, you select the checkbox \u201cDo not allow notification settings to be overridden by the user.\u201d Now the user will no longer be able to modify these settings.<\/p>\n<p>If non-admin users now navigate to the user portal and try to modify the settings, they will find the option disabled.<\/p>\n<h3>Disable All Notifications for a Policy Group<\/h3>\n<p>Let\u2019s say you don\u2019t want to be notified about file activity for a particular group of users (via Policy Group). You can disable this option by editing the policy:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35824\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications23.png\" alt=\"Disable Notifications\" width=\"492\" height=\"273\"><\/p>\n<h3>Modify the Default Options<\/h3>\n<p>The default notifications are tied to the policy group. You can change default settings by updating the values in the policy group settings:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35825\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/05\/ManageNotifications24.png\" alt=\"Modify Default Notifications\" width=\"526\" height=\"289\"><\/p>\n<p><strong>Important<\/strong>: To enable all notifications, select No for all settings.
