The user policy is where you define the custom settings, such as the maximum storage for their personal space, their sharing options, recycle bin settings, and much more.\n<\/p>\n<h2>Where Are the Policy Settings?<\/h2>\n<p>You can review the user policies using your FileCloud Admin UI &gt; Settings &gt; Policies.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35903 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies1.png\" alt=\"\" width=\"624\" height=\"433\"><\/p>\n<p>If you are using a clean new system, you will find two policies: Global Default Policy and TEAM FOLDER POLICY.<\/p>\n<h2>What is the Global Default Policy?<\/h2>\n<p>FileCloud creates this policy group by default. As you can see in your Policy Settings \u2013 Global Default Policy screen, this group shows \u201cEnabled\u201d as the default group.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35904 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies2.png\" alt=\"Policy Settings: Global Default Policy\" width=\"624\" height=\"368\"><\/p>\n<p>The default group is the policy to which all new users are assigned when initially created. This applies to all user types.<\/p>\n<h2>What is the TEAM FOLDER POLICY?<\/h2>\n<p>If you have enabled Team Folders, FileCloud creates the TEAM FOLDER POLICY automatically. This policy group only exists to change the default settings to the Team Folder account.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35905 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies3.png\" alt=\"Policy Settings - Team Folder Policy\" width=\"624\" height=\"367\"><\/p>\n<h2>What are the Global Policy Settings?<\/h2>\n<p>When you \u201cedit\u201d a policy group, there are six policy setting tabs. The General tab contains the configuration to control share settings, storage space, and more.<\/p>\n<p>In this article, we cover the policy settings in the General tab. You can apply these settings to any policy group.<\/p>\n<h3>Share Mode<\/h3>\n<p>The Share mode drop-down menu sets the share options for the users assigned to this group. Its options are:<\/p>\n<ul>\n<li>Allow All Shares<\/li>\n<li>Allow Private Shares Only<\/li>\n<li>Shares Not Allowed<\/li>\n<\/ul>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35918 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies4-2.png\" alt=\"Allow All Shares\" width=\"624\" height=\"367\"><\/p>\n<h3>Allow All Shares<\/h3>\n<p>This setting enables users to use the four types of shares:<\/p>\n<ul>\n<li>Public URL<\/li>\n<li>Public URL with a password<\/li>\n<li>Private Shares (which requires the user to log in)<\/li>\n<li>Allow anyone with a secure web viewer link and password (when applicable)<\/li>\n<\/ul>\n<h3>Allow Private Shares Only<\/h3>\n<p>If you select this setting, it means the ability to generate public shares or public links with a password is no longer available. This is the most commonly used option, and it allows the functionality shown below:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35907 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies7.png\" alt=\"Allow Private Shares Only\" width=\"624\" height=\"525\"><\/p>\n<p>As you can see, both public sharing options are disabled. When you change this setting, you restrict the users under this policy group to the private share option.<\/p>\n<p>If you need to change the default share type but still allow the users to generate different kinds of shares, please read the last section of this article on changing the default share options.<\/p>\n<h3>Shares Not Allowed<\/h3>\n<p>As the name implies, the Shares Not Allowed option turns off sharing for users in the relevant policy group.<\/p>\n<p>When you choose this option, the users will see the share option grayed out on the UI:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35915 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPoliciesEd9.png\" alt=\"Disabled Shares\" width=\"736\" height=\"226\"><\/p>\n<h2>Default Policy Share Settings<\/h2>\n<p>With two specific settings, you can change the default behavior of the shares for the users under this policy group:<\/p>\n<ul>\n<li>Default Share Expiry in Days: This sets the default share expiration to the configured value.<\/li>\n<li>Default Max Number of Downloads Allowed: This limits the number of downloads allowed for the shares.<\/li>\n<\/ul>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35908 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies10.png\" alt=\"Default Policy Share Settings\" width=\"624\" height=\"368\"><\/p>\n<p>Both of these settings are the default values. By default, users can change this. If you prefer to restrict these settings, rather than allow users to override them, you need to select Yes in the \u201cDisallow Default Share Settings Change\u201d drop-down menu. You can find this in Policy Settings -&gt; User Policy.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35909 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies12.png\" alt=\"Disallow Default Share Settings Change\" width=\"624\" height=\"371\"><\/p>\n<h2>Setting the User Storage Quota<\/h2>\n<p>This is the personal storage size given to each user under the policy group. By default, users get a 2 GB quota for storing personal files.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35910 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies13.png\" alt=\"Setting User Storage Quota\" width=\"624\" height=\"343\"><\/p>\n<p>In the UI below, the space available for the \u201cMy Files\u201d folder is displayed.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35911 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies14.png\" alt=\"Display User Storage Quota\" width=\"588\" height=\"332\"><\/p>\n<p>If you want to give the users under this policy group, for example, 50 GB, you update the value and save it.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35912 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies15.png\" alt=\"Increase User Storage Quota\" width=\"624\" height=\"346\"><\/p>\n<p>Once you have assigned this extra storage, you can view it in the UI, as shown:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35913 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies16.png\" alt=\"Display Increased User Storage Quota\" width=\"624\" height=\"303\"><\/p>\n<h2>Enabling Privacy Settings<\/h2>\n<p>If you set the Enable Privacy Settings feature to YES, it prompts users to accept the Terms of Service when they next log in to FileCloud.<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35914 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies17.png\" alt=\"Enable Privacy Settings\" width=\"624\" height=\"344\"><\/p>\n<p>This shows on the user\u2019s next login after you have enabled the setting:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35916 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPoliciesEd18.png\" alt=\"FileCloud Terms of Service\" width=\"810\" height=\"379\" srcset=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPoliciesEd18.png 810w, https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPoliciesEd18-768x359.png 768w\" sizes=\"(max-width: 810px) 100vw, 810px\"><\/p>\n<h2>Recycle Bin Settings<\/h2>\n<p>You configure the recycle bin feature separately for each policy group. There are three settings you have available to configure:<\/p>\n<ul>\n<li>Store Deleted Files<\/li>\n<li>Automatically Delete Files from Recycle Bin After Set Number of Days<\/li>\n<li>Do Not Store Deleted Files Greater Than<\/li>\n<\/ul>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35919 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies19.png\" alt=\"Recycle Bin Settings\" width=\"624\" height=\"346\"><\/p>\n<h3>Store Deleted Files<\/h3>\n<p>When you configure this setting, any files deleted from the users that belong to this policy group will go into their own recycle bin.<\/p>\n<p>For example, once you have enabled the setting, if the user deletes a file, it shows in the recycle bin as follows:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35920 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies20.png\" alt=\"Store Deleted Files\" width=\"624\" height=\"161\"><\/p>\n<p>Users can access the deleted file by selecting \u201cDeleted Files\u201d on the three-dot menu:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35921 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies21.png\" alt=\"Access Deleted Files\" width=\"624\" height=\"152\"><\/p>\n<p>When a user is in the Deleted Files section, they can select the file and restore it:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35922 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies22.png\" alt=\"Restore Deleted Files\" width=\"624\" height=\"189\"><\/p>\n<p>From here, the user can also perform other actions:<\/p>\n<ul>\n<li>Copy or move the file to another path<\/li>\n<li>Permanently delete the file<\/li>\n<li>Remove all old versions of the file<\/li>\n<li>View the file properties<\/li>\n<\/ul>\n<p>For more details about deleted files, please check out the <a href=\"https:\/\/www.filecloud.com\/supportdocs\/fcdoc\/latest\/server\/filecloud-administrator-guide\/filecloud-site-setup\/storage-settings\/filecloud-managed-storage\/manage-the-recycle-bin-using-policies?utm_source=FileCloud_Blog&amp;utm_medium=Blog&amp;utm_campaign=GettingStarted_Part4&amp;utm_id=GettingStarted_Part4\">FileCloud documentation<\/a>.<\/p>\n<h2>Automatically Delete Files from Recycle Bin After Set Number of Days<\/h2>\n<p>Once you have enabled the recycle bin feature, it can automatically clean itself according to the value you enter in this field. If set to zero, it will not clean unless the user manually empties it from the UI.<\/p>\n<p>If, for example, you want to configure the recycle bin to be automatically cleaned after 30 days, you use the following configuration:<\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"alignnone wp-image-35923 size-full\" src=\"https:\/\/www.filecloud.com\/blog\/wp-content\/uploads\/2024\/06\/UserPolicies23.png\" alt=\"Recycle Bin Configuration\" width=\"545\" height=\"134\"><\/p>\n<h3>Do Not Store Deleted Files Greater Than<\/h3>\n<p>Once you have configured the recycle bin for a policy group, as admin you can restrict the maximum size. The default value is 100 MB.
