In the fast-paced world of modern enterprises, workflow automation has become a critical component for achieving efficiency and productivity. Our latest FileCloud 23.1 update brings significant enhancements to workflow automation.

Understanding Workflow Automation

Workflow automation involves automating repetitive tasks and actions within a business process. By leveraging technology and predefined rules, workflow automation reduces manual intervention, streamlines operations, and enhances overall efficiency. It eliminates time-consuming tasks, improves accuracy, and enables employees to concentrate on more valuable work, thereby driving productivity.

Importance of Workflow Automation

Workflow automation has become a critical tool for modern enterprises due to several key reasons:

  1. Efficiency: By automating repetitive tasks, workflow automation eliminates manual effort, reducing time wastage and boosting efficiency.
  2. Productivity: With workflow automation in place, employees can focus on strategic initiatives and high-value tasks, increasing overall productivity.
  3. Consistency: Automated workflows ensure consistent execution of tasks, reducing variations and improving the quality of outcomes.
  4. Compliance: Workflow automation enforces standardized processes, ensuring adherence to regulatory requirements and industry standards.
  5. Collaboration: Automation improves collaboration by providing a seamless platform for teams to work together, fostering better communication and knowledge sharing.

FileCloud's Workflow Automation: Before and After

FileCloud’s Workflow Automation capabilities have always made work easier with automatic notifications and reminders, not to mention a host of other features (which we go into more detail in below).

FileCloud 23.1 expands these functionalities to better suit the needs of our enterprise customers.

Direct Access to Action Screen

FileCloud's automated workflows now feature a link in email notifications that grants approvers direct access to their Action screen. This link eliminates the need for approvers to navigate through multiple screens or log in separately.

By simply clicking the embedded link in the email notification, approvers are instantly directed to their Action screen where they can review, approve, or reject the shared file. This streamlined process saves valuable time, ensures timely decision-making, and enhances overall workflow efficiency.

Expanded Approver Options: Groups and Users

FileCloud's updated workflow automation now allows the inclusion of groups, in addition to individual users, as approvers. This improvement offers flexibility and scalability, enabling organizations to create comprehensive workflows tailored to their specific approval requirements.

Including groups as approvers streamlines the workflow process when multiple team members or departments need to review and approve a shared file. This capability eliminates the need for manual assignment and ensures that all relevant stakeholders are involved in the decision-making process.

Moreover, FileCloud's system also supports assigning individual users as approvers. This level of granularity allows organizations to designate specific approvals to key personnel, such as managers or team leaders, further streamlining the workflow and aligning with unique organizational structures.

Additional Workflow Automation Benefits

FileCloud's Workflow Automation is an easy-to-use tool that anyone, from IT managers all the way down to the least technical users can use to create automated workflows with:

No-Code Design

The no-code design means that any user can create automated workflows, share workflows, and respond to workflow notifications without having to learn a whole new system.

Drag-and-Drop Workflows

Drag-and-drop workflows make the process even more simple with pre-set conditions, logic, and actions. This helps ensure that workflows are simple to create and follow a logical process from start to finish.

Real-Time Reports

A Workflow Automation dashboard shows you all running workflows for oversight and auditory purposes, ensuring that everything is documented and approved.

FileCloud’s Workflow Automation is useful in almost every industry because it can be used for:

Conclusion

It’s easy to have access to these new features. If you use FileCloud Online, these changes have already been put into place and you can begin trying them out now! If you use FileCloud Server, your admin can easily update your environment.

Of course if you have any questions, you can always reach out to support as well.

At FileCloud, we’re always working to be better. And it doesn’t stop at Workflow Automation updates! We’ve also recently introduced the beta for FileCloud Desktop where current customers can try out our FileCloud desktop client.
