FileCloud is acutely aware of the link between good UI design and data security. A clear, easily navigable UI plays a vital role in minimizing user errors and data leakage. With its latest release, FileCloud incorporates some important UI enhancements that improve security and visibility, allowing admins and users to quickly and easily view share permissions on folders. This enables admins and users in busy environments to amend access permissions at speed to reflect the agility of projects.
In the FileCloud admin portal, admins can now easily check whether inherit folder security is enabled. They can also look at users and groups that are added to the access control list. In addition, admins can quickly display the users and groups that inherit permissions from a parent folder. Furthermore, both admins and business users with manage folder permissions can check effective permissions, as well as look up permissions available to individual users.
FileCloud admins, as well as business users who are granted Manage Folder permissions, can now view both inherited and effective permissions at folder level. Moreover, FileCloud displays these permissions in a handy table that allows for straightforward viewing. The new UI changes are visible for My Folders in the user portal and for Team Folders in the admin portal.
Viewing Effective Permissions in FileCloud
Additionally, admins can now easily check whether inherited folder security is enabled. They can display users and groups that have been added to the access control list (ACL), and those with inherited permissions from a parent folder. Furthermore, users can check an individual's permissions by typing an email ID into the list in the Check Access tab of the Manage Folder Permissions dialog box.
Checking Access with an Email ID
Let's consider the case of a Project Manager at a B2B white label email provider. The Project Manager's role involves overseeing a cross-functional team on a high-stakes customization project named "Project Blueprint" for a prominent enterprise customer. The ability to keep tight control over access control lists for the project is imperative.
The team collaborates on various commercially sensitive documents during the project, some containing proprietary information related to the enterprise customer's internal IT systems and underlying infrastructure. The Project Manager stores these documents in a folder entitled "Blueprint", with 10 project-related sub-folders underneath.
Organizing Projects Using the FileCloud UI
The team members have varying levels of access, based on their roles in the project. For example, those who are documenting aspects of the project need full access to edit and share documentation. Others, who are software developers working in coding environments, require view-only access to the documentation.
With enhanced user permissions visibility on the UI, the Project Manager can easily view and manage access to each document within the folder. As a result, she ensures compliance, streamlines collaboration, and maintains accountability. Additionally, improved permissions visibility enhances control, reduces errors, and facilitates smoother collaboration. Ultimately, this leads to more efficient and secure project management.
For our Project Manager, managing the "Blueprint" folder and its sub-folders requires meticulous control over access permissions. In fact, the folders contain sensitive information crucial to the project's success. In addition, any data leaks in relation to the contents could result in huge losses for the B2B email provider.
Leveraging FileCloud's latest UI enhancements, the Project Manager can efficiently monitor and adjust permissions for each team member on an as-needed basis. For example, she grants full editing privileges to a folder called User Documentation to the documentation team. This team records technical details of the project and the edit access ensures they can collaborate seamlessly and create multiple iterations of important documents.
Private Shares Visibility on FileCloud UI
As roles evolve and project requirements shift, the Project Manager can swiftly update permissions through FileCloud's intuitive UI. This helps maintain security and alignment with organizational protocols.
This capability not only enhances operational efficiency by minimizing time spent on managing permissions, but also strengthens data security by preventing unauthorized access to highly confidential materials.
Ultimately, with clearer visibility and streamlined control over permissions, the Project Manager finds that she can:
The Project Manager also travels extensively to frequent meetings to update the customer on the progress of Project Blueprint. During these trips, her ability to check and modify access permissions via the FileCloud app on her smartphone is not only valuable, but essential. In particular, the ability to view a list of file and folder shares on her smartphone app while visiting the customer's premises allows her to ensure everything continues to run smoothly and securely while she is away from the project team. FileCloud's enhanced automated metadata and folder management also boosts her ability to track file activity on the go.
