Classify Data with FileCloud Smart Content Classification & DLP Rules
With the amount of enterprise data being shared globally, a good content classification solution should be able to discover sensitive content, automate the application of data governance policies, and help mitigate data leaks without interrupting business operations.
FileCloud is a powerful content classification and governance platform that can be deployed on-premises, in the cloud, or as a hybrid solution. With public and private sharing, granular access permissions, and unlimited external user accounts, FileCloud offers fine-tuned tools to help enterprises collaborate securely.
Smart Content Classification and Data Leak Prevention (DLP)
Smart Classification and DLP rules in FileCloud support data visibility and governance by scanning files upon upload, tagging with relevant metadata, and applying governance policies. This automated process achieves several key objectives:
- Removes the administrative burden (and risk of human error) that comes with manual labeling and organization of new information introduced to the environment.
- Streamlines data visibility and policy application for greater efficiency and productivity.
- Provides robust security coverage to files as soon as they are uploaded to the FileCloud environment, including access and sharing permissions, data leak prevention, and retention policies.
- Supports compliance with data privacy and protection regulations such as GDPR, HIPAA, FINRA, NIST, and PDPL, among others.
Classify Data Accurately and Automate Policy Applications
FileCloud’s Smart Content Classification tool can be leveraged to identify sensitive content and apply necessary security and governance policies.
Once an admin creates a classification rule and deploys it in the environment, the content classification engine automatically scans, organizes, and tags uploaded content with relevant metadata. This process then triggers other governance tools in FileCloud, including data leak prevention and retention policies.
FileCloud already supports a vast library of pre-built metadata patterns, including PII such as credit card numbers, passport numbers, driver’s license numbers, and social security numbers. Admins can also create custom metadata sets to suit unique data visibility needs.
Creating a classification rule is simple. Admins can create rules using two distinct methods: with the RegEx (Regular Expression) builder or with the no-code visual builder. To ensure the rule performs as anticipated, a simulator runs the rule against sample text of your choice and displays the results.

FileCloud and Artificial Intelligence
FileCloud can also integrate with OpenAI, a third-party Large Language Model (LLM) provider. With this integration, admins can leverage AI to classify content, even for complex queries, based on natural language.
Once classification rules are established and deployed, maintaining data visibility and governance is a simple process of monitoring and tweaking as needed to trigger metadata-based policies, such as DLP, file retention, activity alerts, and automated workflows, among other powerful FileCloud settings.
