Data Governance and Retention - FileCloud

Data Governance

Data Governance forms the core of cloud content management within FileCloud. By identifying what data is stored, where it’s stored, who has access, and what actions can be taken, organizations can create data governance frameworks that support data integrity, protect intellectual property, and preserve user privacy.

Data Retention Policies

FileCloud simplifies data governance with hierarchical retention policies so admins can manage data throughout the document life cycle, according to business operations and regulatory requirements. FileCloud data retention policies support control, compliance, and sovereignty in the cloud ecosystem.

Auditing and Global Compliance

FileCloud offers various admin features to manage and protect data, including file analytics and reports, role-based access controls, remote device management, and comprehensive audit trails. These capabilities help admins meet auditing requirements for global regulations such as HIPAA, FINRA, FIPS 140-2, and GDPR.

Data Governance and Protection:

Data Governance is fundamental for modern enterprise information systems, particularly in the wake of cloud computing and hybrid cloud infrastructures. Government regulations and enterprise cybersecurity relies on data governance frameworks to mitigate risk across business operations and to secure collaboration between and beyond the enterprise information systems.

Data Governance at the Core of FileCloud

Increasing cyberthreats and complex IT ecosystems make business data vulnerable to loss and data leakage. FileCloud allows administrators to implement a multi-layered data governance strategy, supported with technical controls across infrastructure security, admin controls, access and permissions policies, lifecycle management, and admin controls.

Data Governance through Infrastructure in FileCloud

  • Encryption at-rest and in-transit: AES 256-bit encryption, SSL/TLS secure tunnel for data transfer.
  • Authentication mechanisms and IdP integration: Two-factor Authentication (2FA), Single Sign-on (SSO), Active Directory (AD), SCIM 2.0 support.
  • Security Incident and Event Management (SIEM) integration: FileCloud supports SIEM and REST API integration with FileCloud storage to provide additional device and data management functionality.

Data Governance through Admin Controls in FileCloud

  • Remote device management: connected device inventory supports remote wipe in the event of loss or theft, as well as user blocking to prevent unauthorized access or exfiltration through the account.
  • Built-in and custom reports: admins can choose from a variety of built-in reports to support administrative oversight and maintenance, as well as create custom reports; reports can be downloaded as excel spreadsheets for continued data validation and analysis.
  • Comprehensive audit trails: Complete information logs are kept such as details of the action on files, time stamps, name of the user accessing the files, and details of the devices through which data is accessed.

Data Governance through Access & Permissions Policies in FileCloud

  • Granular access controls: create policies (global, group, user) that define who can access what information within FileCloud; Role Based Access Controls (RBAC) enable admins to designate admin-users that can further determine access and permissions for their specific departments and teams.
  • File permissions management: set specific file activity permissions (read, write, move/copy, delete, share) based on users, groups, and roles or for specific files, folders, and sub-folders.

Data Governance through Lifecycle Management & Automation in FileCloud

  • Retention policies: admins can set hierarchical retention policies to retain files, automate data lifecycle management, and support records requirements in legal proceedings (trade discussions, copyright infringement, employee lawsuits, consumer complaints) and regulatory audits.
  • Metadata management (PII tagging, e-discovery): leverage built-in metadata sets or create custom metadata sets to suit unique business operations and data visibility needs. Metadata tagging enables enterprises to identify confidential and protected classes of data, including Personally Identifiable Information (PII), health and financial data, intellectual property, and classified government data.
  • Content classification: powered by metadata, content classification in FileCloud can serve to automate identification of confidential and protected data. FileCloud’s Smart Classification reduces manual user error involved in tagging processes and triggers data security policies to ensure robust protection from the moment a file is uploaded to and processed by the FileCloud environment.
  • Data Leak Prevention (DLP) rules: FileCloud Smart DLP enables admins to create rules controlling access options (deny or permit with notification), based on specified attributes (including metadata tags). This protects users and the organization at large from sharing sensitive files, whether accidentally or maliciously.

Data Sovereignty and Data Governance: A Critical Relationship

Data sovereignty and data governance work together to protect enterprise information and ensure regulatory compliance:

  • Data governance establishes the policies, controls, and procedures for managing organizational data throughout its lifecycle.
  • Data sovereignty determines the legal jurisdiction governing where and how that data must be stored and processed.

Organizations must integrate data sovereignty requirements for regulations such as GDPR, CCPA, and Saudi Arabia’s PDPL into their governance frameworks to meet legal obligations for storing sensitive data within specific geographic boundaries.

FileCloud’s data governance capabilities help meet both operational needs and legal requirements, transforming data sovereignty from a compliance burden into a competitive advantage that demonstrates your commitment to data protection and customer privacy.
