How to achieve file security in the cloud with FileCloud when sharing files?
FileCloud provides many aspects to sharing files in the cloud securely. There is a list of security features introduced by FileCloud. Let’s discuss secure file sharing and management in the following aspects that allow the user to secure the file content on the cloud.
Prevent Data Leaks in Real-Time
FileCloud has a simple yet flexible method to prevent accidental data leaks from end-users. It has a rule-driven smart DLP system that can secure enterprises from compliance issues and data leaks. DLP refers to data loss prevention. A Smart DLP helps enterprises comply with different compliances such as HIPAA, ITAR, GDPR/CCPA, and other emerging data privacy regulations worldwide. The smart DLP helps the user and allows for a vast range of compliance use cases as follows:
- High-Security Document sharing
- Virtual Data Room
- Legal Hold
- E-Discovery
With the smart DLP, you can control user actions such as downloading, sharing, and logging. Users’ actions can be controlled based on IP range, user group, email domain, folder path, document metadata, and user access agents. The DLP evaluates these rules in real-time and logs the violations for future reporting and auditing purposes.
Safeguard of Documents Against Leakage and Piracy
FileCloud uses a DRM (Digital Rights Management) that helps stop unauthorized sharing, taking screenshots, copying, and printing your intellectual property. The file’s sender can instantly revoke any access or restrict any access at any time. The sender also can set maximum access counts.
FileCloud DRM also allows you to export multiple documents securely within an encrypted document container. FileCloud DRM uses AES 256 encryption. The recipient of the encrypted file needs a key to access the file. The FileCloud verifies the key before letting anyone access the relevant file.
FileCloud ensures encrypted file transfer by utilizing AES-256 encryption for all files and securing data transmission with SSL/TLS protocols.
FileCloud also has a secure document viewer, which enables the sender to let the viewers view files in the restricted mode. The document viewer can enable a particular user to view a part of the document. The screenshot protection feature enables the file’s sender to restrict viewers from taking screenshots of the document. Even after the distribution of the files, the sender can invoke or revoke any access rules.
User Authentication and Authorization
FileCloud provides user authentication in a few different ways. Single Sign-On (SSO) and MFA (Multi-Factor Authentication) for authentication, as well as RBAC (Role-Based Access Control) for authorization.
Single Sign-On can be enabled using multiple IDPs configured with FileCloud. MFA can enable more authentication protection where it will allow you to add additional steps of authentication for your FileCloud.
Regarding authorization, your users can be categorized into groups, and the configured roles can be assigned to users. Group policies can also be defined by the administrator of the file cloud for additional security. Further to RBAC, folder-level permission granularity can also be achieved with FileCloud. These are coming under the administrative features of the FileCloud.
